Why conference LED screens are different from event screens

A conference room is not a festival field. Your audience sits or stands in a defined space, often facing a stage or presentation area. Unlike outdoor fan zones or mobile trailer setups, conference LED screens must work within fixed sightlines, room acoustics, and audience proximity. Everyone needs to see clearly, read text on slides, watch video content and follow speakers — and they can't move far to get a better angle.

This means conference screen sizing, placement and resolution are more constrained than they might first appear. Get it wrong and your back rows see a blur; your side attendees face a glare problem; your production team runs into power and rigging challenges they didn't anticipate. Get it right and your speakers and content land cleanly, your attendees stay engaged, and your event day runs without technical surprises.

Understanding viewing distance and the right screen size

The first rule of conference screens is viewing distance. Where will your audience sit or stand, and how far will the furthest people be from the screen?

A common starting point is the 1/6 rule: the screen height should be roughly one-sixth of the maximum viewing distance. If your back row is 24 metres away, aim for a screen that is about 4 metres tall. If you're in a 15-metre room, a 2.5-metre screen will work.

But this is a baseline, not gospel. The actual distance depends on:

  • Room shape — long and narrow rooms need wider screens than square layouts

  • Audience density — tightly packed attendees tolerate slightly smaller screens than sparse crowds

  • Content type — text-heavy slides need better resolution and slightly closer effective viewing than video-only presentations

  • Ceiling height — low ceilings limit how high you can mount a screen, which means going wider instead

Work through the room geometry early. Sketch out where delegates will sit, mark the furthest seat, measure that distance, and size the screen accordingly. This avoids the common trap of hiring a screen that looks impressive in the spec sheet but leaves back-row attendees squinting.

Pixel pitch and text clarity at conference distances

Pixel pitch — the distance between individual LED pixels — is critical for conference content. Video looks fine on a coarse-pitch screen; readable text does not.

If your conference will feature slides with body text, bullet points, data charts or live social media feeds, you need tighter pixel pitch than a screen designed purely for video playback. A 6mm pitch screen works well for video at 20+ metres. At 12 metres, with presenters showing detailed slides, you want 3.9mm or finer.

The practical guide:

  • Video content only (presentations, speaker footage, branding) — 6mm pitch is acceptable for viewing distances over 15 metres

  • Slides with text and data — move to 3.9mm or 4.8mm pitch for comfortable reading at 10–20 metres

  • Dense information, small fonts or detailed graphics — consider 2.5mm to 3mm pitch, especially if any attendees will sit within 10 metres

This is where many conference organisers stumble. They choose a screen based on physical size alone and then realise attendees can't read the slides comfortably. Specification the pixel pitch upfront, or ask your AV partner what pitch they recommend for your room and content mix.

Placement and sightline planning

A brilliantly sized and specified screen placed badly is wasted money. Conference screens need to be positioned so that the widest possible audience arc can see the content without strain.

Height and angle are the first considerations. A screen that is too high or angled sharply down creates neck strain for front-row attendees; one that is too low makes back rows crane upward. Aim for a viewing angle of roughly 0–30 degrees from the centre of the audience. Mount the screen so its centre sits slightly above the speaker's eye line and the bottom edge is at or just below the speaker's shoulders — this creates a natural sightline.

Horizontal coverage matters equally. If your screen is mounted dead-centre, check how far attendees in the front corners can see without turning their heads excessively. If those seats are important, consider a wider screen or two smaller screens positioned to the sides. Side angles beyond 60 degrees start to reduce image clarity for many LED technologies, so placement is crucial.

Avoid obstructions — pillars, handrails, other equipment — between the audience and screen. Walk the room, sit in every section you plan to use, and confirm sightlines yourself. One blocked view ruins the experience for that delegate.

Brightness and room lighting balance

Conference rooms often have changeable lighting — some venues let you dim house lights, others don't. This affects your screen brightness choice.

Indoor LED screens typically range from 500 to 1500 nits brightness. For a well-lit conference room with no dimming, aim for 1000+ nits; for rooms where you can control lighting, 700–800 nits is sufficient. Too bright and attendees experience eye fatigue and glare reflection off glasses; too dim and the screen competes with ambient light, losing contrast.

Ask your venue what lighting control you have and communicate this to your AV supplier. If you can lower house lights during key presentations, a mid-range brightness screen works fine. If lighting is fixed, specify a brighter screen upfront.

Audio and AV integration

A conference screen rarely works alone. You need audio reinforcement, microphone input for speakers and Q&A, video playback capability and often a slide control system. This entire AV ecosystem must work together smoothly.

Plan your AV layout early:

  • Where will speakers stand relative to the screen and audience?

  • Where will your AV operator sit or stand, and can they see the screen and audience reactions?

  • How will presenters switch between slides, video and live feeds?

  • Is there redundancy if a laptop or cable fails mid-session?

A screen without clean audio, responsive slide control or failover backup is a liability on the day. Coordinate with your AV team on full system setup, not just screen installation.

Power, rigging and structural logistics

Conference rooms have limits. Not all venues have the power capacity for large LED screens, and not all ceilings are built to support structural rigging.

Before specifying a screen, check:

  • Available power — a mid-to-large LED screen can draw 10–20 kW. Confirm your venue has spare capacity; if not, you may need a generator

  • Rigging points — if the screen hangs from the ceiling, verify the ceiling can safely support it. Not all suspended ceilings are fit for purpose

  • Setup time — how long will installation take, and does it disrupt your event? Some venues require screens to be installed the night before; others allow morning setup

  • Cable runs — can video and power cables reach from your control point to the screen without creating trip hazards or appearing unprofessional?

These logistics often get overlooked in the planning phase and then cause stress on the day. Sort them early with your AV partner and venue.

Common conference screen mistakes and how to avoid them

Two mistakes crop up repeatedly:

Undersizing the screen. Organisers worry about cost or aesthetics and choose a screen that is technically visible but doesn't command the room. Back rows feel excluded, attendees on phones miss content, and the event feels smaller than it should. Size the screen to your furthest viewing distance, not your budget comfort zone.

Ignoring sightlines during booking. You book a screen that fits the spec, then on setup day realise it doesn't work in the actual room layout. Visit your venue, sit in the furthest seats, and confirm sightlines before you commit to a screen specification.

Planning your conference LED screen setup

Start your planning with three questions:

  1. What is the maximum distance from the screen to the furthest audience member?

  2. What content will you show (video, slides with text, or both)?

  3. How much control do you have over room lighting?

Answer those and you have a clear foundation for screen size, pixel pitch and brightness. Add in venue constraints — power, rigging, cable runs — and you have a specification you can hand to an AV supplier with confidence.

Conference screens done right feel invisible. The audience sees the speaker, the slides and the video without thinking about the technology. That happens when sizing, placement and AV integration are planned properly upfront.

The goal is not a impressive screen; it's a screen that serves your audience and your message.
